My cheapie phone holds 1000, and under each you can put 5. So up to 5000 numbers, and I have a backup plan. Maybe get a different phone with your carrier?

Use google to download the contacts to your email, use google voice as your texting/call app (iPhone or android). With Google voice you can use your google contacts that are not in your phones internal memory, as well as do text/call forwarding with your existing number.

The way I store numbers is the initial of the city they are located in, then their FIRST name ONLY, then if they aren't not screened, I add a N/S after their name. The reason I put the initial of the city is so when I'm traveling I just hit BR - and all my Baton Rouge contacts are listed there so it's easy for me to send emails to all of them individually. Not everyone checks for ads on the various websites, besides it's a nice personal touch as I never send out mass emails. The reason I save their name is they usually call back after I give them the screening requirements and my availability, and I want to be able to remember who's calling for my convenience and for better customer service. Once a week or if I have time to kill whilst I'm out, I'll search on N/S and delete old contacts. No sense in having a bunch of clutter in my phone.
Also, since our client lists are our business, I strongly suggest backing it up. It doesn't have to be on a super server somewhere, it can be on something as innocuous as a jump drive. Personally, I use a Blackberry so my contact list, email and access to the various websites are all on one device. I always, always, always check before I leave anywhere, the nail salon, a restaurant, ANYWHERE, I check to see that I have it with me, and I leave it in my car for any new client. You never know.

a well organized provider.... next thing you know she will have a SQL database with her clients in it....
or worse.. she uses Microsoft's One note app on her phone, tablet and pc with the data files stored in Microsoft's SKyDrive (cloud storage) so all can reach it there...
I would applaud any lady who did all that

A spreadsheet on excel will solve this problem. There are two other secure provider resources to keep track of things with too. I am thinking your "do not see" list is more important than past clients list to keep.
